Amazon Catalogue Management and Flat Files

Suppressed listings, broken variations, flat files that will not process and a catalogue nobody wants to touch. We find the actual cause, fix it, and prove the fix landed.

Send Us the ASINs and We Will Tell You What Is Actually Wrong

Most catalogue problems have been looked at before they reach us. Someone has raised a case, resubmitted the file, tried a different template and got a different error. The reason it has not been fixed is almost never the thing people are fixing. A title that keeps reverting is a contribution conflict, not a copy problem. A variation that will not connect is usually a theme or product type mismatch two levels up.
Amazon catalogue management starts with diagnosis. Send us the problem ASINs and we will audit them read-only, with no changes to your catalogue, and come back with what is actually wrong and what it will take to fix. You decide what happens next.

Catalogue Problems We Fix

01
Listings suppressed, inactive or incomplete, with no clear reason given
02
Parent-child variations that will not connect, or that broke after an Amazon update
03
Flat files failing with partial rejections and error codes nobody can decode
04
Edits that will not stick because another contributor’s data is outranking yours
05
Stranded inventory where the listing has detached from the SKU
06
Duplicate ASINs for the same product that need merging
07
Wrong browse node placement, so products never appear in filtered search
08
Brand name, GTIN and authorisation errors blocking new ASIN creation
09
Catalogue left in a mess after a migration, rebrand or channel move
10
Catalogues too large to hand-manage, where bulk changes are the only realistic route

How a Catalogue Fix Runs

01

Read-Only Audit

We take read-only access and go through the affected ASINs against the category listing report and the live detail pages. No changes are made at this stage. You get a written finding per ASIN: what is wrong, what caused it, and whether it is fixable from your side at all.
02

Prioritised Fix List

Not everything is worth fixing in the same week. We sort the list by revenue at risk and effort, so suppressed bestsellers go first and cosmetic attribute gaps go last. You approve the list and the scope before anything is touched.
03

Test Batch

Risky bulk changes go through a small group of SKUs first. We submit, read the processing report line by line, and confirm the change held on the live listing before scaling it. This is what stops one bad template taking out a category.
04

Full Push

Once the test batch is clean, the rest of the batch goes through in controlled groups. Every submission is logged with its feed ID so any change can be traced back and reversed.
05

Verification

A submission that returns no errors has not necessarily worked. We check the live detail page, the variation family and the inventory status after every push, then send you a record of what changed, SKU by SKU, with before and after.
The Technical Part

Flat Files, Done Without Breaking the Catalogue

Flat files go wrong for predictable reasons. The wrong product type template for the category. A valid value that is valid in one marketplace and not in another. Required attributes that became required after the last template update. Partial processing, where some rows land and some are silently rejected, leaving a variation family half built. And the one that causes most damage: a bulk update that overwrites good data with blanks because empty cells were read as instructions.
We work from the current category listing report rather than an old export, pull fresh templates per marketplace, and use the inventory loader or the full product type template depending on what the change actually requires. Every file is submitted in controlled batches, every processing report is read in full rather than scanned for a green tick, and every change is verified on the live listing afterwards. Bulk listing uploads should be boring. When they are not, it is usually because nobody read the report.

Two Ways to Work With Us

Fix the Problem

A defined piece of work with a defined end. A set of suppressed ASINs, a variation family to rebuild, a catalogue to clean up after a migration. We scope it from the audit, quote it as a project, do it, verify it and hand it back. You are not signed up to anything afterwards and we will not push you into a retainer you do not need.

Own the Catalogue

Ongoing management for catalogues large enough that something is always broken. We monitor for suppressions and errors, handle new item setup, keep variation structures correct across marketplaces, and run scheduled catalogue health checks. You get a monthly report of what broke, what we fixed and what is still open.

Who This Is For

UK and EU brands with catalogues large or complex enough that manual listing work has stopped being realistic
Brands with a specific catalogue problem that has survived several attempts to fix it internally
Brands moving marketplaces, rebranding or migrating channels, where the catalogue needs rebuilding cleanly
Not a fit if you have twenty simple SKUs with no variations. At that size you do not need an agency, and we will tell you that rather than sell you something

Why Brands Bring Us a Broken Catalogue

Our team are former Amazon and Walmart category and growth managers. That matters more in catalogue work than anywhere else, because most catalogue problems are caused by a rule that is not written down anywhere a seller can read it. Knowing how the catalogue behaves from the inside is the difference between fixing the cause and resubmitting the same file with different wording.
Since 2023 we have worked with more than 70 brands across 32 marketplaces, and we handle catalogues on both Seller Central and Vendor Central. As an Amazon catalogue management agency working across the UK and EU, we deal daily with the marketplace-by-marketplace differences that break files which worked perfectly on one domain.
01
We audit before we touch anything.
02
A clean processing report is not proof. The live listing is.
03
If Amazon is the blocker, we tell you, instead of billing you to keep trying.

FAQ

Common Questions About Catalogue Management

What does Amazon catalogue management include?

+
Catalogue audits, new item setup, variation and parent-child structure, flat file and bulk updates, suppressed and inactive listing repair, attribute and browse node corrections, duplicate ASIN merges, GTIN and brand authorisation issues, and ongoing catalogue monitoring. Scope is agreed from the audit.

Do you need full access to our Seller Central account?

+
No. The audit is read-only. For the fix work we need permissions for the specific areas in scope and nothing beyond that. You grant them and can withdraw them at any point.

Will a bulk edit break the rest of our catalogue?

+
It can, which is why we never push a large file in one go. Risky changes go to a small test batch first, the processing report is read in full, and the live listing is checked before the rest follows. Every submission is logged so a change can be traced and reversed.

What do flat file error codes like 8541 or 5665 actually mean?

+
They point to a conflict, not a formatting mistake. In broad terms they signal that the data you are submitting disagrees with data already attached to the ASIN or the brand. Fixing them means resolving the conflict at source rather than reformatting the file, which is why resubmitting rarely works.

Will our reviews come back after you fix a variation?

+
Reviews follow Amazon’s own rules for how they are shared across a variation family, and that is Amazon’s decision rather than ours. Rebuilding the family correctly gives them the best chance of consolidating. We will not promise an outcome Amazon controls.

Can you help if we do not have barcodes for our products?

+
Yes. Where a product genuinely has no GTIN, there is an exemption route through Amazon that depends on the category and the brand’s registry status. We will tell you at the audit stage whether your products qualify.

Do you work on Vendor Central catalogues as well?

+
Yes. Vendor Central catalogue work is a different system with different templates and different failure modes, and we handle both. It also forms part of our Vendor Central management service.

Do we have to sign up to a monthly retainer?

+
No. Plenty of our catalogue work is one-off project work with a clear end. If an ongoing arrangement would genuinely serve you better we will say so, but a single fix stays a single fix.
